What is Intelligent Document Processing (IDP) and how does it work?

If you've been researching ways to automate your document workflows, you've likely come across the term "Intelligent Document Processing" or "IDP".

But what does it actually mean? And how is it different from the document scanning and OCR tools you may already know?

To answer that properly, it helps to understand where the technology came from and how dramatically it has evolved.

The story of document automation begins in the 1990s with Optical Character Recognition (OCR).

OCR technology converted scanned paper documents into machine-readable text, a genuine breakthrough at the time. For the first time, businesses could digitize their paper archives and search through them electronically.

In the 2000s, Intelligent Character Recognition (ICR) expanded on this by adding the ability to interpret handprinted text, not just typed or printed characters. Again, a meaningful step forward.

These technologies are still in use today and remain valuable. But they were built for a simpler world, one where documents followed predictable layouts and data extraction just meant lifting characters off a page. Business documents of today are far more complex.

Modern businesses deal with documents that arrive in an enormous variety of formats: structured forms, semi-structured invoices from hundreds of different suppliers, unstructured emails, handwritten notes, scanned contracts, digital PDFs,... The layout changes. The terminology varies. The relevant data is in different places every time.

Traditional OCR can digitize these documents. But it cannot truly understand them.

That gap between digitizing and understanding is exactly where "Intelligent Document Processing" comes in.

"Intelligent Document Processing" goes far beyond character recognition. It combines advanced extraction engines with Artificial Intelligence and machine learning to analyze documents the way a human reader would: understanding context, identifying relevant fields, recognizing document types, and extracting the right data regardless of format or layout.

In practical terms, a well-implemented IDP solution can:

- Automatically fetch documents from email inboxes or watched folders
- Classify documents by type, like an invoice, delivery note, contract, purchase order, without manual intervention
- Extract data with high accuracy, even from low-quality documents, different layouts, manual handwriting, etc.s
- Convert documents to searchable PDF format
- Export data directly to business systems via APIs or integrations
- Flag exceptions for human review, only when it's genuinely needed
...

The key distinction from earlier technologies is the "intelligence" part. IDP doesn't just read characters, it interprets it.

"AI-powered" has become one of the most overused phrases in enterprise software. But in the context of document processing, the application of AI is concrete and measurable.

The best IDP solutions use AI where matters. This is what separates a true IDP platform from a rebranded OCR tool with a modern interface.

When evaluating IDP software, the right question to ask is not "does it use AI?" but "where and how does it use AI?" and "how does it improve my results?"

The short answer: any business that handles a meaningful volume of documents.

For large enterprises, IDP delivers ROI through efficiency at scale reducing the headcount required for document-heavy processes like accounts payable, contract management, or logistics documentation.

For small and medium businesses, the impact can be even more transformative.

With smaller teams, every manual document step takes up a disproportionate share of available working hours. IDP allows SMBs to process documents at a level of speed and accuracy that would otherwise require significantly more staff.

The most accessible IDP solutions today require no coding and offer flexible, modular pricing making enterprise-grade document automation achievable for businesses of any size.

The evolution from OCR to IDP represents more than a technology upgrade. It represents a fundamental shift in how businesses can interact with their documents, moving from passive digitisation to active, intelligent automation.

For any business where documents are a core part of daily operations, understanding and adopting IDP is no longer a question of "if" but "when."
